I was a student at USF, it was lockdown, and I wanted to help people make better content. The next year I founded Mark Studios, and since then we’ve completed more than 8,000 orders for over 4,500 clients.

The editing got better along the way, but better editing isn’t what made that volume possible. What made it possible was replacing habits that work fine at five orders a month and fall apart at fifty. If you’re a freelancer whose inbox is starting to fill up, these are the ones I’d change first.

1. Stop keeping orders in your head

At the start, I knew where every project stood because there were only a few. That works until a client asks where their video is and the answer is spread across three apps.

The fix was boring: one spreadsheet, one row per order, one status column. Each order gets an ID, the client, what was ordered, the due date and a single status word: new, in progress, ready for review, ready to deliver, delivered, in revision, completed.

Two rules make it work:

The status word decides what happens next. “Ready for review” means the work gets checked before the client sees it. “Delivered” means the next move is the client’s. If you can’t tell the next action from the status alone, your status list is wrong.

If it isn’t on the sheet, it didn’t happen. A delivery you sent but never marked is an order you’ll chase twice or forget once.

You don’t need project management software for this. You need one place you trust more than your memory.

2. Write the brief in the client’s words, from the whole conversation

Order forms leave things out. Clients fill them in quickly, then tell you what they actually want in chat: “can the captions be yellow?”, “actually, can we get a 9:16 version too?” A change made in chat leaves no file behind, so it’s the easiest thing to miss.

Before I start, I read the whole thread, not just the form, and write a short checklist in the client’s own words. Not “make it engaging” but “cut the long pause at the start”, “yellow captions”, “logo at the end, not the start”. Every line is something I can point to later and say: yes, that was done.

References deserve special attention. When we looked at 698 first messages buyers sent us between July and September 2026, 55% included a link or asked for an edit “like this”. For most clients, the reference is the brief. Open it and write down what it actually does: caption style, pacing, music level, where the text sits.

Repeat work is the same. When a client says “same as last time”, open last time’s file and measure it: the font, the size, where the captions sit, how loud it is. Eyeballing “about the same” is how you get a revision request for something you already did once.

3. Make quality control its own step

Right after you finish an edit, you’re the worst person to check it. You see what you meant to make.

QA is a separate pass with its own checklist, done with fresh eyes:

Watch every file from start to finish at full resolution. No scrubbing.

Read every burned-in caption letter by letter. Spell check can’t see text inside a video, and “your” for “you’re” on screen is the kind of mistake clients spot instantly.

Go down the brief checklist line by line and confirm each item.

Check the technical basics: consistent loudness (we master YouTube videos to around -14 LUFS), no black frames, the right resolution and aspect ratio.

Make sure on-screen text stays up long enough to read, and that everything the client asked for in a vertical video sits inside the area TikTok, Reels and Shorts don’t cover with buttons and captions.

The checklist matters more than talent here. Most delivery mistakes aren’t skill problems. They’re things nobody looked at.

4. Write delivery messages that make the next step easy

A delivery message isn’t a formality. It decides whether the client replies “perfect, thanks” or sends back a list of twelve things.

Three habits changed how mine land:

Call the first version a first draft. It sets the expectation that small changes are normal, so a note doesn’t feel like a complaint.

Ask one or two specific questions. “Is the pacing in the first 30 seconds what you had in mind?” gets a useful answer. “Let me know what you think!” gets silence or a wall of notes.

When a note could mean two things, deliver both. If a client says “make the intro shorter” and you can’t tell whether they mean the title card or the opening talk, send version A and version B, labelled, and say why. It costs a little time and saves a whole revision round.

5. Put the revision terms in writing before the work starts

Unlimited revisions sound generous until a project is on round seven and the client is asking for a different video. Our terms are three revision rounds per order, within the agreed scope, and they’re stated before the order starts, not when the disagreement starts.

“Within scope” is the part that does the work. New footage, a different length, an extra version for another platform: those are new work, and they get quoted as add-ons. Saying that calmly and early is much easier than saying it after you’ve quietly done two of them for free.

One more rule I wish I’d set sooner: if you offer a free test edit to win a client, do one and don’t take revisions on it. A test edit with revisions is unpaid work with a nicer name.

6. Separate “busy” from “late”

When volume goes up, everything starts to feel urgent, and that hides the orders that actually are. Every order has two dates: the date the client was promised, and an earlier internal date when the work should be ready for review, so there’s time to check it. Our standard turnaround is five to seven days, and the review date sits inside that window, not on its last day.

A quick daily look at the sheet sorted by those dates shows which orders are genuinely at risk. Everything else is just busy.

What didn’t change

The craft. Clients still hire you because the work is good, and none of these habits replace that. What they do is protect it. A great edit with a typo in the captions, a missed chat request or a surprise argument about revisions doesn’t feel great to the client.

If work is coming in faster than you can keep track of it, start with the sheet and the brief checklist. Those two alone remove most of the “wait, did I do that?” moments.

I took my first video editing gig on Fiverr in July 2020, for $10.
